#The Brief

GymPilot came out of a practical operations problem: gym owners were relying on spreadsheets, chat threads, and fragmented booking tools to run one business. The goal was not just to ship another dashboard, but to consolidate the operational workflow into one product that could support owners, trainers, and clients without creating new admin overhead.

#Product Goals

  • Replace disconnected tools with one structured operating system for scheduling, bookings, payments, and client management
  • Give each user role a focused interface without splitting the product into separate codebases
  • Keep the platform simple to operate on mobile, where much of the day-to-day usage happens
  • Build on a foundation that can support future modules without forcing an early rebuild

#Technical Decisions

We started with a role-based architecture: one product, one codebase, and three interface contexts tailored to owners, trainers, and clients. That decision kept the experience focused for each audience while avoiding the maintenance cost of building parallel systems for related workflows.

The scheduling and booking layer was designed around operational reality rather than feature checklists. Recurring classes, waitlists, trainer substitutions, and client-facing booking all sit on top of the same structured data model, which makes the system easier to extend later with reporting, retention workflows, or additional membership logic.

For owners, the reporting layer prioritised the views that actually drive decisions: occupancy, revenue patterns, and trainer utilisation. For trainers and clients, the experience stayed intentionally lighter. That balance kept the platform useful as an operating system, not just as an admin panel.
